FixRoute

Privacy policy

Last updated October 26, 2026

FixRoute is a maintenance coordination service for property management companies, made by Infinite Library SAS (154 rue Maurice Arnoux, 92120 Montrouge, France, RCS Nanterre 995 219 276). This policy explains what personal data we handle, why, and your choices. Questions: contact us or write to hello@infinitelibrary.ai.

Two roles

For our customers' own accounts (property managers and their staff), we decide how data is used: we are the controller. For data about residents, vendors and property owners that our customers bring into FixRoute, we process it on our customer's behalf and following their instructions: our customer is the controller and we are their processor (or "service provider" under US state privacy laws). If you are a resident, your property management company is your main contact for requests about your data; we will help them answer.

What we collect

  • Account data: name, work email, company, phone number, settings, and sign-in records.
  • Maintenance requests: what residents write or say, photos and videos they send, unit and access details, availability windows, and the conversation with our assistant.
  • Contact details of residents, vendors and owners: names, phone numbers, email addresses, as entered by our customer or provided in messages.
  • Vendor bids and invoices: prices, time slots, notes, photos of completed work and invoice documents.
  • Technical data: IP address, device and browser type, and logs needed to run and secure the service.
  • Billing data: handled by our payment processor; we never see full card numbers.

How we use it

  • To answer residents, suggest safe troubleshooting steps, request vendor bids, route approvals, and keep everyone informed about a repair.
  • To analyze photos and documents (for example, reading an appliance model plate or an invoice total) with artificial intelligence models.
  • To send service messages by text message, WhatsApp, email and push notification.
  • To bill our customers, provide support, prevent abuse, and improve reliability.

We do not sell personal data, we do not use it for advertising, and we do not let our AI providers train their models on our customers' data. AI suggestions are reviewed by people for any spending decision: a manager or owner approves every non-emergency repair.

Text messages

Residents who text a FixRoute number receive replies about their request. Vendors receive bid requests and job updates from the property manager they work with. Message frequency varies with your request. Message and data rates may apply. Reply STOP to opt out and HELP for help at any time. We do not share mobile numbers or opt-in data with third parties for their marketing.

Who we share it with

  • The people involved in a repair: the property management company, the vendor who gets the job (resident contact and access notes are shared only with the awarded vendor), and the property owner when their approval is needed.
  • Service providers that run FixRoute for us under contract: cloud hosting and storage, AI model providers, messaging and email delivery, maps and places data, and payment processing. They may only use the data to provide their service to us.
  • Authorities, when the law requires it.

Where it is stored and how it is protected

Data is stored with major cloud providers and may be processed in the United States and the European Union. For transfers out of the EU we rely on appropriate safeguards such as the EU Standard Contractual Clauses. Data is encrypted in transit and at rest, access is limited to people who need it, customer credentials for connected software are stored encrypted, and approval links expire.

How long we keep it

We keep account and maintenance data for as long as our customer's account is active, so they keep a history of their properties. When a customer deletes their account, their workspace data is deleted within 30 days, except where the law requires us to keep records (for example invoices). Demo workspaces are deleted about ten days after creation.

Your rights

Depending on where you live (including under the GDPR and US state laws such as the CCPA), you can ask to access, correct, delete or receive a copy of your data, and object to or limit some uses. Account owners can delete their account themselves in the app. Residents and vendors can ask their property management company or contact us. You can also complain to your data protection authority (in France, the CNIL). We will not discriminate against you for using your rights.

Children

FixRoute is a business service and is not directed to children under 16.

Changes

If we change this policy in a meaningful way, we will tell account owners by email before it takes effect.
